Lightspeed is a multi-stage venture capital firm focused on accelerating disruptive innovations in the enterprise, consumer, fintech, and health sectors. Lightspeed hosts a variety of events throughout the year, from roundtables and panels to Q&A sessions and field trips. For the 2024 hybrid Annual Meeting, Lightspeed hosted 500+ in-person and virtual Limited Partners, with attendees traveling and tuning in from all over the world. We were thrilled to collaborate with Lightspeed for the third consecutive year on this event.


event goals.

The goals of Lightspeed’s Annual meeting are to review the year’s fund performance, refine investment strategies,
align on future objectives, and foster meaningful collaboration among partners. Content is intended to share insights, provide updates on portfolio companies, and explore potential new investment opportunities. And the event overall is critical to building and strengthening lasting relationships among fund partners and investors.

After the Annual meeting, Lightspeed also hosted their internal Company Offsite bringing together 120+ Lightspeed team members to boost morale, discuss big picture strategy/goals, and celebrate wins outside of the usual work environment.


how we work with Lightspeed.

  • registration website design and maintenance: We expertly managed, designed, and maintained five exclusive, invite-only registration pages. Each site showcased essential event details, agendas, and speaker information under a cohesive and consistent design. We configured all administrative settings and set up attendee forms to collect essential information, including travel details, dietary restrictions, accommodations, and ADA requirements, ensuring a seamless registration experience.

  • venue & vendor sourcing & coordination: Our team coordinated three hotel blocks for 300+ attendees and onsite staff, working closely and effectively with hotel teams to ensure seamless arrangements. We supported the curation of food and beverage selections for a welcome dinner, VP dinner, and offsite reception and dinner. Additionally, we collaborated with local vendors for special event touches with lighting, florals, tablescapes, rental furniture, and activations like grape stomping, bee keeping, and wine blending. We also expertly managed and sourced all transportation logistics for the duration of the event ensuring attendees could easily travel between the three properties. Throughout planning and post-event, we tracked vendor expenses, facilitated payments, and supported post-event budget reconciliations. 

  • attendee communication & coordination: We developed a high-touch attendee communications calendar to create and deploy attendee messaging and important logistics ensuring that every attendee had a white glove experience from pre-event registration to arrival. This included coordinating transportation, accommodations, dietary requirements, access to the virtual platform, and ensuring all details were shared with the venue and vendors. We served as the main point of contact to facilitate any attendee request, travel changes, and cancellations. We collaborated closely with the Lightspeed team to vet replacement suggestions. Post-event, we created feedback surveys and comprehensive event recaps for all attendees. 

  • onsite management: In Napa, our team developed and executed a full run-of-show for all elements, managed onsite registration, shuttle scheduling, hotel requests, deliveries and facilitated vendor setup and breakdown, coordinated the virtual sessions, and deployed in the moment text communications for all in-person attendees.
