Q3 Event Insights: Shifting Into High Gear

 

Summer may have been heating up, but the events industry didn't take a break. From coast to coast (and across three countries!), Q3 kept us moving with 31 events, countless conversations, and plenty of new cities added to the map.

This quarter was a reminder that great events don't have to look one way. From intimate gatherings and executive dinners to larger-scale experiences, every event brought its own audience, energy, and set of opportunities to create meaningful connections.

Quarter 3 Highlights & Stats

This quarter, we brought our clients' communities together in markets ranging from Seattle and San Francisco to Paris, Napa, New York, Nashville, and beyond.

Our events spanned a wide range of formats and audiences, from intimate experiences and curated networking to larger, more complex productions. Here's how the quarter broke down:

  • Vendor highlight: MUNRO, who got us 7 (!) industrial cooling systems in under 12 hours for the 90 degree heat in Napa

While every event looked a little different, one thing stayed consistent: getting the right people in the room matters. With an average show rate of 65%, we have another valuable data point as we continue to learn what drives attendance and engagement. This quarter, we saw that thoughtful invitation timing and highly curated guest lists helped create stronger momentum from RSVP to event day.

Across the Map

Q3 took us outside of just the U.S., giving us the chance to explore new markets and revisit familiar ones in fresh ways.

From the West Coast to the East Coast and everywhere in between, each city brought its own audience dynamics, venue considerations, and event personality. A dinner that thrives in Nashville may need a different approach than in New York, where schedules are tighter and competition for attention is fiercer. In Seattle and San Francisco, we saw a strong appetite for smaller, conversation-driven formats that gave guests plenty of space to connect one-on-one.

City spotlight: Paris. Our largest event of the quarter was a rooftop happy hour at Morning Concorde in Paris, and the setting did plenty of heavy lifting. A memorable venue, an easygoing format, and the energy of the city came together to create an experience that felt social without feeling overly programmed. Sometimes, the best event strategy is knowing when to let the setting and the guests take center stage.

That variety keeps our work interesting. It also keeps us focused on tailoring each experience to the people and the place, rather than relying on a one-size-fits-all approach.

What We're Seeing

One of the biggest takeaways from this quarter? There's no single formula for a great event.

The most successful experiences continue to be the ones that feel intentional, where the format, setting, guest list, and details all work together to create an environment where people actually want to connect.

A few patterns that stood out:

  • Smaller rooms, deeper conversations. Our most common format this quarter was intimate executive dinners, reinforcing that smaller guest counts can create more meaningful opportunities for conversation, connection, and relationship building - even during the quieter months of summer. It also reminded us of the value of hosting events during off-peak event season, when there can be more flexibility, availability, and opportunity to create a more focused experience for attendees.

  • The guest list is the experience. Curation consistently mattered more than scale. When attendees knew who else would be there, engagement followed.

  • Details set the tone. From venue layout to menu to how guests were greeted at the door, the small touches shaped how people showed up and how long they stayed.

  • Flexibility wins. Across the quarter, shifting headcounts, venue and weather considerations, and last-minute changes gave us plenty of opportunities to adapt in real time. The best plans weren't necessarily the ones that never changed, they were the ones built with enough flexibility to change well.

As the events calendar gets busier and audiences become more selective about where they spend their time, thoughtful planning matters more than ever. The goal isn't simply to get people in the room. It's to give them a reason to stay, participate, and leave having made a connection worth remembering.

As we head into Q4, the pace isn't slowing down. We're taking the lessons, ideas, and insights from a packed Q3 and carrying them into the final stretch of the year.

On the horizon: Two conferences in London then over to Berlin for a VIP customer dinner and rooftop reception, summits in Dallas, Chicago, New York, Atlanta, and SF, AWS re:Invent, and company holiday parties. We'll be building on what worked this quarter, testing new formats, and finding fresh ways to help our clients' communities connect before the year wraps.
